Is your HP printer showing as offline? Follow these 8 proven steps to bring it back online on Windows 10 and 11 — from simple restarts to port reconfiguration.
By Solve Tech Problems Online Team
If your HP printer suddenly shows as “offline” even though it’s powered on and connected, you’re not alone. The offline error is one of the most common HP printer problems, and fortunately, it’s usually fixable in a few minutes. This guide walks you through every solution, from the simplest fix to more advanced steps.
Why Does Your HP Printer Go Offline?
Before jumping into fixes, it helps to understand what causes the issue. The offline status typically means Windows has stopped sending print jobs to the printer. This can happen for several reasons:
- Communication breakdown between the printer and computer (USB or network)
- The “Use Printer Offline” setting was accidentally enabled in Windows
- Outdated or corrupted printer drivers
- Print spooler service has frozen or crashed
- IP address changes on network printers, causing Windows to look for the printer at the wrong address
- Firewall or antivirus software blocking printer communication
Step 1: Check the Basics First
Start with the fundamentals — they solve the problem more often than you’d expect.
- Make sure the printer is powered on and showing no error lights (flashing ink, paper jam, etc.)
- Check that the printer is connected properly — verify the USB cable is secure, or that the printer is on the same Wi-Fi network as your computer
- Restart both the printer and your computer — turn the printer off, unplug it for 30 seconds, plug it back in, and restart your PC
Step 2: Disable “Use Printer Offline” Mode
Windows has a setting that manually sets a printer to offline mode. If this got turned on accidentally, nothing will print.
- Open Settings > Bluetooth & devices > Printers & scanners
- Click on your HP printer
- Select Open print queue
- In the queue window, click Printer in the top menu
- If Use Printer Offline is checked, click it to uncheck
- Also make sure Pause Printing is not checked
Quick check: After unchecking, try printing a test page. If it works, you’re done. If not, continue to the next step.
Step 3: Set the HP Printer as Default
Sometimes Windows sends jobs to a different printer or a virtual printer like “Microsoft Print to PDF.”
- Go to Settings > Bluetooth & devices > Printers & scanners
- Find your HP printer and click on it
- Click Set as default
Step 4: Restart the Print Spooler Service
The print spooler is the Windows service that manages print jobs. If it gets stuck, your printer will appear offline.
- Press Win + R, type
services.msc, and press Enter - Scroll down to Print Spooler
- Right-click it and select Restart
- Wait a few seconds for the service to restart, then try printing again
If “Restart” is greyed out, click Stop, wait 10 seconds, then click Start.
Step 5: Update or Reinstall HP Printer Drivers
Outdated or corrupted drivers are a leading cause of offline errors. You have two options:
Option A: Use Windows Update
- Go to Settings > Windows Update > Check for updates
- Click Advanced options > Optional updates > Driver updates
- If an HP printer driver update is listed, install it
Option B: Download from HP’s Official Website
- Visit the official HP support website (search for “HP printer drivers” on Google)
- Enter your printer model number (e.g., “HP DeskJet 2755”)
- Download the latest driver package for your Windows version
- Run the installer and follow the on-screen instructions
:::warning[Important] Always download drivers from the official HP website or Windows Update. Third-party driver sites can bundle malware or incompatible software. :::
Step 6: Check the Printer Port Configuration
If your HP printer is connected via Wi-Fi, Windows might be trying to communicate with the wrong IP address.
- Go to Settings > Bluetooth & devices > Printers & scanners
- Click your HP printer > Printer properties
- Go to the Ports tab
- Check which port is checked — it should match your printer’s connection type
- For network printers, the port should show the correct IP address
- If the IP doesn’t match, you may need to create a new Standard TCP/IP port with your printer’s current IP
How to Find Your Printer’s IP Address
- Print a network configuration page from the printer’s control panel (check your printer manual for the exact button combination)
- The IP address will be listed on the printed page
Step 7: Run the HP Print and Scan Doctor
HP offers a free diagnostic tool that can automatically detect and fix offline issues.
- Search for “HP Print and Scan Doctor” on Google and download it from the official HP support site
- Run the tool and select your printer
- Follow the prompts — it will check for connectivity, driver, and spooler issues
- Apply any recommended fixes
Step 8: Temporarily Disable Antivirus/Firewall
If you’ve tried everything above and the printer is still offline, your antivirus or firewall might be blocking the connection.
- Temporarily disable your antivirus software’s real-time protection
- Try printing a test page
- If it works, add an exception for your HP printer in your antivirus settings
- Re-enable your antivirus immediately after testing
:::warning[Security Note] Never leave your antivirus disabled permanently. Only disable it briefly for testing, then add the printer as an exception and turn protection back on. :::
Still Offline? Hardware Check
If none of the above worked, there may be a hardware issue:
- Try a different USB cable if connected via USB — damaged cables cause intermittent offline errors
- Try a different USB port on your computer
- Test the printer on another computer if possible — if it works there, the issue is with your original PC
- Factory reset the printer — check your printer’s manual for reset instructions
